Managing Documents
Managing documents can be done in several ways. Here are the main ways to do so:

Personal Folder

To navigate to this folder, select "Files" in the main menu. Here you can add documents to the folder, rename it, regulate access to it, and create and delete a subfolder. To upload a document, you can click "Upload" from within your personal folder.
NOTE: The "Copy the link" option enables you to generate links – which are unique for the BoardMaps applications for iPad and web – to the current folder. The links can be inserted, for example, into a matter. Please note, rich text formatting must be turned on for the link to work.

NOTE: The "Share folder" option enables you to provide other system users rights to create, read, edit, and delete the folder and the documents it contains.


Uploading Documents

Whether you are in a Meeting or working an Action Item, you will see a location for documents that looks like below. You will click the plus sign (+) and add the documents.

NOTE: We support the following file types: zip, arj, 7z, rar, aac, mp3, alac, wav, wma, 3gp, avi, flv, mkv, mp4, mpeg, mpg, wmv, svg, png, jpg, jpeg, bmp, gif, tif, tiff, pdf, doc, docx, xps, rtf, txt, odt, xls, xlsx, csv, ods, ppt, pptx, pps, ppsx, odp, vsd, vsdx, mdp, mpp, mppx, mpt, msg, log.


Viewing Documents

If you see a document, you will notice a file and an option to download or view it online. Clicking "View Online" will open the document in another browser tab. The download option will download the document to your device.
Requesting Documents

From within a meeting, matter, or action item you will find the "Documents" section. Alongside of that will be an option to "Request Documents," by clicking this you will be able to send a request to a colleague to submit a document by a due date.
Tablet and Phone Users
You can save attached documents to Meetings, Matters, and Action Items in your personal folder and access them when you are offline. To save a document in the personal folder, tap and hold it until the message "Drag document and choose folder" is displayed. Drag the document and choose a folder where you would like to save it.
Requesting Documents from Table or Phone

From within a meeting, matter, or action item you will find the "Documents" section. Alongside of that will be a "+" that you can click on, and then enter the requested document and assign it to any individual in the meeting.
Annotating and Highlighting

Annotating and Highlighting are functions available on tablet devices. Tap the pencil icon on top of the screen to display the annotations menu. Use the buttons to create an annotation, mark the document with color, strikethrough the text, add a note, etc.
NOTE: Annotations can be private or public. To setup access to an annotation, touch it and hold until a drop-down menu is displayed. Choose whether you want the annotation to be public or private.
